Who we are

Suplent is a trading name of Alan Wagner Ferreira Junior, a sole trader based at Tupiniquins 46, Três Pontas, Minas Gerais 37188-056, Brazil. We are the data controller for the personal information described in this policy.

The information we collect

When you place an order, we collect your name, email address, delivery address, billing address and telephone number if you provide one. We also hold a record of what you ordered and when.

When you contact us, we keep a record of that correspondence.

If you sign up to our emails, we hold your email address and your marketing preferences.

We do not collect or store your full payment card details. Payments are handled by our payment provider, who processes card details directly.

We do not ask for and do not want health information. Please do not send us medical details.

Why we use it, and our legal basis

We use your information to take payment, fulfil and deliver your order, keep you updated on its progress, and respond when you contact us. Our legal basis for this is performance of a contract with you.

We use it to meet our legal obligations, including keeping accounting and tax records. Our legal basis is compliance with a legal obligation.

We use it to protect against fraudulent orders, to understand how our website is used, and to improve what we sell and how we sell it. Our legal basis is our legitimate interests in running a secure and functioning business.

We send marketing emails only where you have asked us to, or where you have bought from us and have not opted out. Our legal basis is consent, or legitimate interests in the case of existing customers. You can withdraw at any time using the unsubscribe link in any email, or by emailing us. Withdrawing from marketing does not affect emails about an order you have placed.

Who we share it with

We share your information with the suppliers who make our business work: our ecommerce and website platform, our payment provider, the supplier who fulfils and dispatches your order, our delivery couriers, and our email provider.

Each of these only receives what they need to do their job, and none of them may use your information for their own purposes.

We may disclose information where the law requires it.

We do not sell your personal information, and we never will.

International transfers

We are based in Brazil, so the personal information you give us is processed outside the United Kingdom. The UK Government has not made an adequacy finding for Brazil, so we rely on the International Data Transfer Agreement, or the UK Addendum to the European Commission’s standard contractual clauses, to give your information the same protection it would have in the UK.

Some of our other suppliers also process information outside the UK, and we rely on the same safeguards, or on an adequacy finding where one exists for the country concerned.

How long we keep it

We keep order records for six years after the end of the tax year in which the order was placed, because HMRC requires it.

We keep marketing preferences until you withdraw, and for a short period afterwards so that we can honour your withdrawal.

We keep correspondence for two years after the matter is closed.

Your rights

Under UK data protection law you have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, and to have it erased where we have no continuing reason to hold it.

You can also ask us to restrict how we use it, object to our use of it where we rely on legitimate interests, and ask us to transfer it to another provider in a portable format.

Where we rely on your consent, you can withdraw that consent at any time.

Cookies

Our website uses cookies that are necessary for it to function, such as remembering the contents of your basket.

We also use cookies that help us understand how the site is used, and these are only set where you agree to them. You can change your choice at any time through the cookie settings on our site, or by clearing cookies in your browser.

Keeping your information secure

We use suppliers who maintain appropriate technical and organisational security measures, and we limit access to personal information to those who need it. No system is completely secure, but we take this seriously and we will tell you promptly if something goes wrong in a way that affects you.

Changes to this policy

If we change this policy we will update the date at the top of this page. Where the change is significant, we will tell you directly.

Complaints

If you are unhappy with how we have handled your personal information, please tell us first at contact@suplent.store so we can try to put it right.
